Figures are rounded to the nearest 5 words; treat them as typical estimates, not exact counts. Text with a lot of dialogue or short paragraphs holds about 5–6% fewer words per page. At 11 pt, pages hold roughly a fifth more than at 12 pt; at 14 pt, about a quarter fewer.
How we measured words per page
Most words-to-pages tools quote round numbers such as 500 words single-spaced and 250 double-spaced without saying where they come from. We measured instead. We took about 64,000 words of continuous prose from two public-domain books on Project Gutenberg: Benjamin Franklin's Autobiography for non-fiction, with long paragraphs averaging 104 words, and Jane Austen's Pride and Prejudice for fiction, with dialogue and paragraphs averaging 58 words. We laid them out line by line using each font's real character widths, taken from the Times New Roman, Arial, Georgia, Verdana and Courier New font files, and from Carlito, the metric-compatible open-source equivalent of Calibri.
Each paragraph starts with a 0.5 in first-line indent, the way APA and MLA papers do. Lines wrap at word boundaries with no hyphenation. Single-spacing line height uses each font's built-in line metrics, and 1.5 and double spacing multiply it. We then counted how many lines fit between the margins. The calculator uses a formula fitted to that simulation, which reproduces its words-per-page results to within about 2.5% across fonts, sizes, spacings, margins and both paper sizes.
What the measurement leaves out matters as much as what it includes. It has no headings, bullet lists, block quotes, footnotes, tables, images or title page. Real word processors also differ in kerning and line-height rules. Expect a real document to vary by around ±10% from these figures, and more if it is heavy on formatting.
Our figures are higher than the familiar 500/250 rule. For solid paragraphs in 12 pt Times New Roman, a page fits about 710 words single-spaced and 355 double-spaced. The traditional 250-words-per-page figure comes close to what we measured for 12 pt Courier New double-spaced (240), the typewriter-style manuscript format. The round numbers are still sensible for planning a paper with headings and references. They just aren't what a page of plain prose holds.
Reading time and speaking time
Reading speed figures come from Marc Brysbaert's 2019 meta-analysis in the Journal of Memory and Language, which pooled 190 studies with 18,573 participants. It estimated the average adult silent reading rate in English at 238 words per minute for non-fiction and 260 for fiction. The average oral reading rate, from 77 studies, was 183 wpm. Most adults fall between 175 and 300 wpm for non-fiction and between 200 and 320 wpm for fiction. The study also notes that commonly cited figures around 300 wpm are overestimates.
For talks, the same review cites audiobook narration at 140–180 words per minute. The calculator defaults to 160 wpm, the middle of that range. A relaxed presentation with pauses, slides or audience questions often runs slower, so time a rehearsal and enter your own rate. A 5-minute speech at 160 wpm is about 800 words; a 10-minute talk is about 1,600.
What changes the page count
- Font. Wide fonts such as Verdana and Courier New fit fewer words per line than Times New Roman or Calibri at the same point size.
- Size. Going from 12 pt to 11 pt fits more characters on every line and more lines on every page.
- Line spacing. Double spacing halves the lines per page. 1.5 spacing sits in between.
- Margins. Wider margins shorten every line and remove lines at the top and bottom.
- Paragraph length. Every paragraph ends on a partly empty line, so short paragraphs and dialogue waste more space.
- Space between paragraphs. Some templates add a few points after each paragraph, which adds up over a long document.
Common mistakes
- Counting pages instead of words. If the brief gives a word limit, it is the word count that is marked. Page estimates are for planning.
- Forgetting the front and back matter. Title pages, abstracts and reference lists add pages but usually don't count toward the word limit.
- Mixing up 1.15 and single spacing. If your editor's default line spacing is above 1, such as 1.15, a page holds noticeably fewer words than true single spacing.
- Assuming everyone reads at 300 wpm. Brysbaert's meta-analysis puts the typical adult closer to 240 wpm for non-fiction.
